Company email signatures: consistent for every employee

Consistent email signatures happen when every signature is generated from the same data source and the same template. Technically, there are two approaches: a centrally generated signature that each person pastes in once, or a server-side solution that appends the signature when the email is sent.

Why consistent signatures fail

Every email is a touchpoint with your brand. Yet in most companies, every signature looks different: old logos, wrong job titles, fonts chosen by taste. The problem is rarely the design. What is missing is a single source from which all signatures are generated.

What belongs in a business signature

  • First and last name, job title
  • Company name as entered in the commercial register
  • Phone and email, website
  • Optional: link or QR code to the digital business card, link to appointment booking
  • If needed: a legal notice in one line, not in a paragraph

Less is more: a four-line signature gets read, a twelve-line one does not. Everything else, from social media profiles to office locations and documents, belongs on the digital card the signature links to.

bizCARD takes the first approach: the signature is generated from the data of the digital business card and from the team's template. For SMEs, that is usually enough. If you want to control hundreds of mailboxes without any action from employees, a server-side solution is the better fit.

Set up the signature in Outlook, Gmail and Apple Mail

  • Outlook (new and web): Settings → Accounts → Signatures, create a new signature and paste in the copied signature.
  • Outlook (classic): File → Options → Mail → Signatures.
  • Gmail: Settings → See all settings → General → Signature.
  • Apple Mail: Settings → Signatures, and uncheck “Always match my default message font” before pasting.
  • Thunderbird: Account Settings → Signature text, tick “Use HTML” and paste in the HTML code.

Roll it out in five steps

  • Define the template: the order of the details, colors, logo.
  • Maintain the data in one place, ideally where the business cards are created too.
  • Generate the signatures and distribute them with instructions for each email program.
  • After two weeks, spot-check whether everyone has switched.
  • For new joiners, put the signature on the onboarding checklist.

Frequently asked questions

What must a business email signature contain in Switzerland?

The Swiss Code of Obligations (CO), art. 954a, requires that business correspondence states the company name exactly as it is entered in the commercial register, in full and unchanged. If you also write to Germany or Austria, you should add the legal form, registered office and register number. This is not legal advice: check your own case with your legal department.

Why are images in signatures often not displayed?

Many email programs load external images only after asking the user. A signature that does not depend on externally loaded images is displayed reliably. bizCARD generates plain HTML; photo and logo can be embedded directly.

Does the signature have to be pasted in again when the details change?

With copied signatures: yes, it has to be pasted in again once. The signature is regenerated from the data of the digital card, which takes less than a minute per person. Server-side solutions change the signature without any action from employees.

Does the digital business card belong in the signature?

Yes. A short link or a small QR code to the digital card replaces the long list of numbers and profiles, and the recipient saves the contact with a single tap.
